Make Open Houses a special event that is a tradition for your club!
**Timing and Planning for an Open House**
- Each year presents an opportunity for celebration. When selecting a date for an Open House, it is advisable to plan approximately 6 to 8 weeks in advance. Please ensure that the chosen date does not coincide with any holidays.
- Ask for assistance from your club members and form a core committee. It is important to note that activities related to this event may be eligible for Pathways project credit.
- Consider the format of your Open House. Will it serve as a demonstration meeting that highlights the talents of your club, or will it feature a guest speaker? If you require suggestions for guest speakers, reach out to the members of the D22 Speakers Bureau at d22speakersbureau@gmail.com. Additionally, a request form is available on the D22 website, d22tm.org.
- For in-person events, it is essential that all promotional materials contain clear instructions for guests. Hybrid and online events provide the advantage of accommodating guests and speakers from greater distances, thereby expanding opportunities for attracting potential new members.
- It may be beneficial to organize a guest invitation contest during your Open House event. Categories for this contest could include: Who invited the most attendees? Who had the highest number of guests present? Who was most successful in having guests join? Each designation can be rewarded with a raffle ticket, encouraging a spirit of friendly competition. Prizes can be Toastmasters swag or gift cards.
- What is your club’s charter date? This information can be located under Club Central in the Club Demographics section.
- Do not allow Toastmasters to remain a secret. A personal invitation is the most effective method for encouraging individuals to join.
- On the day of the event, it is crucial to provide a clear agenda. New guests may feel somewhat disoriented, thus it is important to ensure they feel welcomed. Encourage them to return for future meetings and do not hesitate to inquire about their interest in membership.
- Ensure the availability of clear membership packets, whether provided in person or digitally. Additionally, be sure to collect guest information; this can be added to Free Toast Host or your current club prospect database for future outreach.
